01 / Before the visit

Get the property file in order

Start with the assignment, the right address, and records already on hand.

Confirm the requested inspection scope and handoff.Know what was requested and who should receive the completed paperwork.
Verify the property address and site contact.Check the appointment details against the customer and property record you plan to use.
Review records that have already been provided.Keep prior reports, service or treatment notes, and property diagrams together when available.
Prepare your company-required forms and field kit.Bring the equipment and safety items your company requires, plus a way to capture notes and photos.

02 / At the property

Keep observations clear and connected

Capture what you saw, where you saw it, and what could not be observed.

Match the report to the property and inspection date.Resolve an address or customer mismatch before entering inspection notes.
Write factual notes with a clear location.Describe the condition you observed and where it was found in plain, specific language.
Record areas you could not access and why.Make limits visible in the record instead of guessing about an unobserved area.
Separate your observations from reported history.Identify information supplied by an owner or another record so it is not mistaken for a direct observation.
Capture context photos and connect them to the right notes.Use a useful location or subject in each photo note so the image is easy to understand later.

03 / Before handoff

Give the paperwork one last pass

Check the record, make limits easy to see, and file the handoff consistently.

Recheck names, address, and inspection date.Make sure the report and its supporting notes point to the intended customer and property.
Review the notes and supporting photos together.Confirm each attachment belongs with this inspection and supports the note beside it.
Make limitations and follow-up items easy to find.State any open question or next step clearly for the person receiving the report.
Save the report and deliver it through your normal process.Keep the record with the property history and send it only to the intended recipient.
